This policy applies when you use our public website, online booking, free-quote and scheduling pages, customer quote and installation portals, or communicate with our team. It also applies to information handled through our customer relationship management system in connection with estimates, sales, installation, repair, maintenance and customer support.
It does not replace the privacy terms of an independent payment provider, lender, social network or other third party whose service you choose to use.
2. Information we collect
Depending on how you interact with us, we may collect:
- Identity and contact information, including your name, phone number, email address, service address and communication preferences.
- Property and service details, including equipment, home-comfort needs, appointment availability, access instructions, notes, measurements, photos and installation requirements.
- Quote and transaction information, including products considered or selected, approvals, signatures, deposits, invoices, payment status, financing selections, refunds and related audit history. Full card or bank credentials are handled by the applicable payment or financing provider, not stored by us.
- Communications, including emails, text messages, appointment updates and call details. Calls may be recorded, transcribed or summarized for quality, training, recordkeeping and service purposes where notice or consent is required.
- Technical and usage information, including IP address, browser and device information, referring pages, site interactions, cookie preferences, advertising identifiers and approximate location derived from your address or device.
- Marketing attribution, such as the advertisement, campaign, search or referral that led you to us, including information submitted through Meta lead forms or similar platforms.
How information reaches us
We receive information directly from you, from people acting with your authorization, through our website and communications, and from service providers or marketing platforms that you use to contact us.
3. How we use information
We use personal information to:
- respond to inquiries and prepare estimates or product recommendations;
- confirm, route, assign, reschedule and complete appointments or jobs;
- send quotes, obtain approvals and signatures, collect payments and support financing applications;
- communicate service reminders, arrival updates, receipts, installation information and customer support;
- maintain customer records, installation checklists, warranties, quality controls and transaction history;
- detect fraud, protect our systems, comply with legal obligations and resolve disputes;
- measure website and advertising performance, attribute leads and improve our services; and
- send promotional communications where permitted and consistent with your choices.
We may combine information from separate interactions to maintain a more accurate customer record, such as matching a new booking to an existing customer using a name, phone number or email address.
4. How we share information
We do not sell or rent personal information. We may share only what is reasonably necessary with:
- our employees, technicians, installers, helpers and authorized subcontractors who need the information to serve you;
- equipment suppliers, warranty administrators and other partners involved in the requested job;
- technology and communication providers that support our website and operations, which may include Render, Supabase, Twilio, Brevo, Google, Meta and OpenAI;
- payment and financing providers, such as Stripe, Abode Financial or an applicable lender, when you choose their services;
- professional advisers, insurers, auditors and authorities where required to protect rights, comply with law or respond to a lawful request; and
- a successor organization in connection with a proposed or completed business transaction, subject to appropriate safeguards.
Some providers process information outside Canada. As a result, information may be subject to the laws and lawful access rules of another jurisdiction.
5. Calls, texts and email
We use the contact details you provide to respond to you and deliver transactional communications about quotes, appointments, technicians, invoices, installations and customer support. These messages are necessary to deliver a service you requested.
We send marketing email or text messages only where permitted. You may unsubscribe from marketing email using the link in the message or reply STOP to marketing text messages. You may still receive non-promotional messages needed to administer an active request, appointment, transaction or legal obligation.
Where calls are recorded, transcribed or analyzed, we provide notice or obtain consent as required. Recordings and derived notes are used for service quality, training, documentation and follow-up.
6. Cookies, analytics and advertising
Our website uses essential storage required for security and core functionality. With your choice where required, we may also use analytics and advertising technologies to understand website use, measure campaigns and recognize when an advertisement leads to a booking, quote or purchase.
These technologies may include the Meta Pixel and Meta Conversions API, Google services and similar tools. Information may include page views, button interactions, browser details, IP address, advertising identifiers and contact information that is normalized and securely hashed before certain matching uses. Meta and other providers process information under their own privacy policies.
You can review or change optional website tracking choices at any time.
7. Retention and security
We retain personal information only as long as reasonably necessary for the purposes described above, including service history, warranty support, accounting, dispute resolution and legal requirements. Retention periods vary by record type and an active customer relationship may require longer retention.
We use administrative, technical and physical safeguards designed for the sensitivity of the information, including access controls and secured service providers. No internet transmission or storage system can be guaranteed completely secure. If a qualifying privacy breach occurs, we will investigate, document, notify and report it as required by applicable law.
8. Your privacy choices
Subject to applicable law, you may ask us to explain our handling practices, access or correct personal information, withdraw consent where processing depends on consent, or object to certain marketing uses. Withdrawing consent may limit our ability to provide a requested service where that information is necessary.
To make a request, contact our Privacy Officer using the details below. We may need to verify your identity and will respond within the period required by law. If we cannot fulfill all or part of a request, we will explain the reason where permitted.
9. Data deletion instructions
You may request deletion of personal information associated with our website, Meta integrations or customer systems by emailing sales@infinitehomecomfort.com with the subject Privacy / Data Deletion Request.
Include the name, phone number and email address connected to your interaction so we can locate the correct record. We may ask for reasonable identity verification before deleting information. We will delete or de-identify eligible information and confirm the outcome, but may retain records required for legal, tax, warranty, security, contractual or dispute-resolution purposes.
This section is the official user-data deletion instruction page for Infinite Home Comfort’s Meta integrations. You do not need access to a Facebook account to submit a request to us.
10. Children’s privacy
Our services are intended for adults arranging services for a property. We do not knowingly collect personal information from children under 13 through the website. If you believe a child has provided information, contact us so we can review and remove it where appropriate.
11. Changes to this policy
We may update this policy as our services, systems or legal obligations change. The “Last updated” date identifies the current version. Material changes will be communicated where required.
